Medical Department Assistant

We are currently looking for a strong healthcare profiles with the right attitude to join our Medical Department as " Medical Department Assistant"

Medical Affairs Assistant, reporting to Medical Director will be responsible for a variety of activities within department to support major processes. Fulfils communication tasks and duties.

- Coordinates work with other executive and supports medical department employee to ensure a high performance work environment
- Diary management and meeting co-ordination of the medical department
- Arranges and coordinates business travels, congress attendances for medical department employees
- Supports to respond Medical Information Requests (purchase medical literatures, send literatures to the region as a hard copy, record requests on Citrix MediSource Lite system)
- Supports monitoring and documentation of Clinical Research Activities
- Creates HCP Engagement Requests on GEARS for each promotional and non-promotional meetings, calculates Fair Marketing Value (FMV) for speaker contracts, prepares speaker contracts, sends speaker contracts to relevant sales representative and ensures that contracts and consent forms signed prior to engagement, requests to pay honorarium value from finance department and  follows honorarium payment process (ensures that receipt and invoice received from payee by sales representatives), completes close-out on GEARS by adding supporting documents, archives all documents as hard copies such as signed contracts, receipts and invoices
- Coordinates Financial services for Medical Department (creates PO and receives approvals on time, follows-up receipts and hands them over the finance department with medical approvals)
- Supports Clinical Research Activities by assisting the medical team in daily study operations which includes tracking of documents and preparation/publishing/distribution of key clinical study documents such as informed consent documents, essential regulatory document requirements, study manuals, investigator brochures, protocols and clinical study reports and tracking regulatory documents from clinical sites and CRO

  • University Degree
  • Fluency in English
  • Strong MS Office skills
  • Excellent planning & organization skills
  • Excellent team player
  • Advanced level of Microsoft Office skills, including: Word, PowerPoint, Excel and Outlook
  • Basic understanding of Pharmaceutical market and products
